Adjusting stock and checking stock history
Book stock in, correct stock levels after a count, write off breakages, and see every change to a product's stock and who made it.
Every change to a product's stock in TelosGym is logged — sales, refunds, deliveries and manual corrections — so you can always see why a figure is what it is. You'll need the Stock & Products access area.
How stock changes
Stock goes down automatically when you sell at the till, and up when:
- you refund a sale with Back in stock ticked — see Refunding a shop sale,
- you receive a purchase order — see Managing suppliers and purchase orders, or
- you book stock in with the stock app on your phone — see Using the TG Stock app on your phone.
For anything else, use Adjust stock.
Adjust stock
- Go to Products & Stock → Products.
- Click the Adjust stock icon on the product's row.
- In Add / remove, enter how many to add — or a negative number to remove stock (e.g.
-2). TelosGym shows the new stock level before you confirm. - Choose a Reason:
- Goods in — a delivery or stock you've bought.
- Stock take correction — fixing the figure after counting the shelf.
- Breakage / waste — damaged, expired or used items.
- Other
- Add a Note if it helps, then click Adjust.
For Goods in, you can also record the Supplier and the Unit cost paid. If you enter a unit cost, it becomes the product's new cost price.
💡 Stock can't go below zero. If you try to remove more than TelosGym thinks you have, you'll see a message like "Can't remove 5 — only 3 in stock." Count the shelf and correct the figure with Stock take correction first.
Stock history
Click the Stock history icon on a product to see its latest 50 stock changes — when each happened, how much it changed by, the reason (including Sale and Refund), and who made it.
Keeping an eye on low stock
On the Products list, the stock figure turns red when a product has 5 or fewer left. TelosGym doesn't send low-stock alerts, so it's worth glancing at the list when you place orders.
Counting the whole shelf
To count lots of products at once, the Stock take in the TG Stock phone app is quicker than adjusting products one by one. See Using the TG Stock app on your phone.
