Selling session packages
Set up blocks of PT sessions with a price and a trainer commission, sell them for cash or card, and track how many are left.
Session packages are the blocks of PT sessions you sell — "10 sessions for £350". You set the types up once, then trainers sell them to clients and draw them down as the sessions happen.
1. Create the package types
In the staff dashboard, go to Personal Training → Session Packages.
- Name — what the client is buying, e.g. "10-session block".
- Description — optional.
- Number of sessions — how many sessions the block contains.
- Price.
- Trainer commission (%) — the trainer's cut of this package. Recorded against the package type, so different blocks can pay different rates.
- Active (visible for selling) — untick to retire a package without deleting it.
2. Sell one
A package can be sold from either the staff dashboard or the PT app.
Pick the client, the package, the trainer it's credited to, and the payment method:
- Cash — recorded straight away. The package becomes Active immediately.
- Card — the client goes through Stripe Checkout. The package sits at Pending payment until Stripe confirms, then flips to Active.

3. How sessions get used up
A package is drawn down when a session note is logged against it — not when a session is booked in the diary.
This is the single most important thing about packages, and it's worth telling your trainers directly. Booking a slot doesn't cost the client anything. After the session, the trainer writes a session note and picks the package it belongs to; that's the moment sessions remaining drops by one.
It means:
- a no-show doesn't automatically eat a session — you decide,
- a freebie or a make-up session just gets a note with no package attached,
- and the remaining count stays honest, because it tracks sessions actually delivered.
TelosGym checks before it draws down. It refuses if the package belongs to a different client, isn't Active, or has no sessions left — with a clear message rather than a silent failure.
4. When a package runs out
A package with zero sessions remaining stays Active rather than closing itself. It simply can't be drawn down any further, and you'll get a "no sessions remaining" message if a trainer tries.
Sell the client another block when they're ready. There's no renewal step — a new package is a new sale.
