Building a workout programme

Fill your exercise library, build a programme out of days and exercises, then send it to the client as a PDF.

A programme in TelosGym is a plan made of days, each made of exercises. Before you can build one, you need exercises to build it from.

1. Fill the exercise library

Go to Settings → Exercise Library. It only appears if you have the Personal Training access area.

Each exercise has:

  • Name
  • Category — strength, and the other types you run.
  • Muscle group — optional, but worth filling in; it makes the list far easier to search once it's long.
  • Description — coaching points, setup, anything you'd otherwise repeat.
  • Video URL — an optional link to a demo video on YouTube or similar.

The library is shared across your studio, so it's worth building it properly once. Exercises can be deactivated rather than deleted — anything used in an existing programme has to stay.

💡 Do this before your trainers start building. An empty library makes the programme builder look broken when it's simply got nothing to offer.

2. Build the programme

In the staff dashboard, go to Personal Training → Programmes and create one for a client.

Give it a name, an optional description, and optional start and end dates.

Then add days. A day is a session in the plan — "Day 1 — Push", "Day 2 — Pull" — with its own name, order and notes.

Under each day, add exercises from your library. Each one takes:

  • Sets and reps — free text, so "3", "8-12" and "AMRAP" all work.
  • Load — weight or resistance guidance, e.g. "20kg" or "bodyweight".
  • Rest — in seconds.
  • Notes — anything specific to this client doing this exercise.

Sets and reps being free text is deliberate. Real programming doesn't fit neatly into numbers, and you shouldn't have to fight the form.

3. Move it through its statuses

A programme has four:

  • Draft — you're still working on it.
  • Active — the client is on it.
  • Completed — they finished it.
  • Archived — out of the way, but kept.

Keep it in Draft while you build, then set it Active when the client starts.

4. Send it to the client

Once it's ready you can download it as a PDF or email it straight to the client. The PDF carries your studio's branding.

Emailing needs an email address on the client's record — if there isn't one, TelosGym tells you rather than failing quietly. See Adding clients and inviting them to the client app.

Clients with the client app can also see their programme there, so the PDF is for people who'd rather have something to print or keep in their inbox.

Where trainers can and can't edit

Building and editing programmes is a staff dashboard job. In the PT app, programmes are read-only — a trainer can pull a client's plan up on the gym floor but can't rewrite it there.
