Adding clients and inviting them to the client app

Add members to TelosGym, assign their membership and first payment, and invite them to the client app where they can book classes and get their check-in QR code.

Once you've created at least one membership type, you're ready to start adding members.

1. Add the client

  1. Go to Clients and click Add client.
  2. Enter their First name and Last name (both required), plus their Email and Phone.
  3. Leave Member number blank and TelosGym will assign the next number automatically. This is the number reception uses to check them in.
  4. Optionally add their address, date of birth and any notes, then save.

๐Ÿ’ก Moving from another system? You can type in a member's existing number instead of leaving it blank โ€” handy if they already have a key fob or card with that number on it.

2. Assign their membership

  1. Go to Memberships and open the Clients tab.
  2. Find the client and click Assign membership.
  3. Choose the membership type.
  4. Choose how they're paying:
    • Card โ€” via Stripe Checkout โ€” click Continue to Stripe to take the payment by card. For recurring memberships, Stripe then charges them automatically each billing period, and each payment appears on the Payments page on its own.
    • Manual โ€” record directly โ€” for cash, bank transfer or anything else taken outside TelosGym. Click Record membership. For recurring memberships, TelosGym tracks when the next payment is due and flags it as overdue if it isn't recorded.

3. Invite them to the client app

In the client app, members can see their membership, book classes, and show their personal QR code for check-in.

  1. On the Clients page, find the client (they'll need an email address on file).
  2. Click the envelope icon โ€” its tooltip reads Invite to portal.
  3. They'll receive an email to set up their client app login.

The Portal column shows where each client is up to: Not invited, Invite sent or Active. If a client loses the email, click the envelope again to Resend portal invite.

Once a client is active, the row menu also lets you Send password reset or Revoke portal access.

Waivers and inductions

The Clients page also has Waiver and Induction columns, so you can see at a glance who has signed your waiver in the app and who has had their induction. Use the quick actions there to mark either as done.

Letting clients sign themselves up

If you'd rather new members joined on their own, switch on the Self-signup module under Settings โ†’ General โ†’ Modules. Clients can then sign up through your client site without you adding them first.
