Setting up your waiver

Edit your studio’s liability waiver, have clients sign it in the app, and record paper waivers for everyone else.

TelosGym gives every studio one waiver. Clients sign it once in the client app, and you can see at a glance who has and hasn't.

1. Edit the waiver text

Go to Settings → Waiver. Only a manager or the owner can edit it.

You won't find an empty box. TelosGym seeds a generic starter liability waiver so you've got something real to work from rather than a blank page.

Do not use it as it comes. Two things need your attention:

  • The template contains [Company Name] wherever your business name should be. While that placeholder is still there, TelosGym shows a warning on the Settings card telling you to replace it. That warning exists specifically so the waiver can't quietly go live looking finished when it isn't.
  • The wording is deliberately generic and has not been reviewed by a solicitor for any particular jurisdiction, activity or insurance requirement. Get it checked before you rely on it.

Edit the text, click Save, and the warning disappears once the placeholder is gone.

💡 Don't need a waiver? Leave the box empty. A studio with no waiver text simply never shows one, and the client app won't nag anybody.

2. How clients sign it

In the client app, members get a Waiver page showing your text. To sign, they:

  1. Type their full name.
  2. Tick the box to agree.

That's the signature — there's no drawn or canvas signature to fiddle with on a phone. Their name, the date and time are recorded.

Once signed, they see a read-only confirmation of who signed and when instead of the form. Signing again isn't possible and doesn't create a second record.

Until they've signed, the app shows a "Sign now" banner on their home screen — but only if you've actually set a waiver.

3. Signing is tracked, not enforced

This is the part worth being clear about.

A client who hasn't signed can still book classes, pay, and check in. Nothing in TelosGym is blocked on the waiver. It's there so you know where you stand, not to stop people training.

If you need a signed waiver before someone uses the gym, that's a rule you enforce at the front desk — TelosGym gives you the information, not the barrier.

4. Paper waivers

Plenty of members will never open the client app, and some signed on paper long before you moved to TelosGym.

On the Clients page, use the quick action Mark waiver signed (paper waiver on file). That records the signature against them and notes that staff recorded it rather than the client signing in the app, along with who confirmed it.

Keep the paper itself. TelosGym is recording that a waiver exists, not storing the document.

5. See who's signed

The Clients page has a Waiver column showing Signed or Not signed for every member, so chasing the gaps is a case of scanning the list.

💡 No health or medical questions live anywhere in TelosGym — not in the waiver, not in inductions. That's deliberate: health data carries a much heavier compliance burden under UK and EU data protection law. Anything medical stays on paper with you.
