Recording gym inductions
Mark a member’s induction complete — automatically through an induction class, or by hand — and see who still needs one.
An induction record in TelosGym is deliberately thin: it says that a client completed their induction, and when. Nothing else.
What TelosGym does and doesn't store
It records the fact and the date, who marked it, and — if it came from a class — which session.
It stores no health or medical detail whatsoever. No par-Q, no conditions, no medications.
That's a deliberate design decision, not an oversight. Health information is special-category data under UK and EU data protection law and carries a much heavier compliance burden than tracking attendance. Any health questions you ask as part of an induction stay on paper, kept by you.
Two ways to record one
Automatically, through an induction class
If you run inductions as a scheduled class, flag that class type as your induction class — the switch reads "This is the studio's induction class". See Setting up your class types.
From then on, checking a client into a session of that class type marks their induction complete. No extra step: run the induction, check them in as normal, done.
Manually, from the Clients page
Plenty of studios do inductions one-to-one whenever someone new turns up, rather than as a scheduled class.
On the Clients page, use the quick action Mark induction complete. That's it — no class session involved.
💡 Use whichever fits how you actually work. You don't need to create a fake class just to tick the box.
Seeing who still needs one
The Clients page has an Induction column showing Complete or Not done for every member.
In the client app, members who haven't been inducted see a "Book now" banner pointing them at your timetable — but only if you actually run a scheduled induction class. If you do inductions manually, they're never nagged about booking something that doesn't exist.
Clients can't mark their own induction complete. It's staff-recorded, always.
Where induction actually matters
Induction is tracked, not enforced for day-to-day use — same as the waiver. A member who hasn't been inducted can still book classes and check in.
There is one place it genuinely gates something: PT–client messaging. A trainer can't message a client who has no induction record, because TelosGym uses the induction as evidence the studio has met that person face to face. See Messaging your PT clients.
So if a trainer reports they can't message a new client, the induction column is the first place to look.
