A tour of the Settings menu
What each part of Studio settings does — payments, modules, facilities, off-peak hours, check-in, busyness, waivers, website embeds, plugins, referrals and the exercise library — and which to set up first.
Settings is where the shape of your studio lives. It has four tabs:
- General, Plugins and Referrals — for the studio owner.
- Exercise Library — for the owner and any staff with the Personal Training access area.
💡 You won't need most of this on day one. Modules, Facilities and Off-peak hours are the ones worth checking before you create membership types, because they decide what each membership actually grants.
General
Time zone & trading day
Your studio's time zone, which decides where each day starts and ends on the Payments page, in Reporting and in the shop's sales report, and when a day pass runs out. Also the hour your shop's trading day starts — leave it at midnight unless you're open through the night. See Reconciling the till with Today's till.
Payments — Stripe
Connect Stripe so members can pay by card. See Connecting Stripe to take payments.
Card reader (only when the Shop module is on)
Register a Stripe card reader so card payments at the Quick Sale till are charged for real. See Taking card payments with a card reader.
Modules
Switch whole parts of TelosGym on or off to suit how your studio runs:
- Classes & Scheduling — the class timetable and bookings.
- Check-in — the reception Check-in page.
- Memberships — membership types and billing.
- Shop — a simple till plus stock control. See Switching on the Shop and adding products.
- Self-signup — lets clients sign themselves up on your client site.
- Drop-in prepayment — clients pay before booking a drop-in class.
Facilities
The areas or activities a membership can give access to. Gym and Classes are built in — you can rename them or mark them inactive, but not delete them. Add as many others as you like, such as "Spin studio", "Pool" or "Workout room 2". Membership types are linked to facilities, so set these up before creating your membership types.
Locations
For a separate physical site with its own address — for example a second premises or a hired hall. With only one location, this doesn't show up anywhere else in the app. You can also add a postcode, which lets clients see how far away a class is.
Off-peak hours
The time windows when off-peak members can use the studio. A window can run overnight (e.g. 22:00–06:00). If you sell off-peak memberships, make sure a window is set — with none, off-peak members can never check in.
Check-in / check-out
Whether quoting a member number a second time checks them out (on by default), and an optional automatic check-out after a set number of hours. The QR scanner options here set how soon the same code can be scanned again, and whether it beeps.
Live busyness
Shows members in the client app how busy the studio is right now. Set your capacity and choose a display style: traffic light only, traffic light with numbers, or numbers only. Needs the Check-in module switched on.
Payment grace PIN
A 4–8 digit PIN that lets reception check in a member whose payment is overdue, with access until the end of the next day. Keep it to trusted staff.
Waiver
The waiver text clients sign in the client app. Signing isn't required to book or check in, and you can see who has signed on the Clients page. You may want to change the wording to suite your business. Remember to replace the [Company Name] placeholder with your studio's name.
External embeds
Keys for showing your live class schedule on your own website. See Embedding your class schedule on any website.
Plugins
Optional monthly add-ons you can switch on whenever you want to offer more than the core gym and PT setup:
- Nutrition — diet plans for clients.
- Body Composition — body measurements, including skinfold protocols.
- Programmes — adds Draft with AI to the programme builder. (Building programmes by hand is always free.)
- Client Branding — your own colours and logo in the client app.
Referrals
Invite another gym or trainer to TelosGym. They get money off their subscription straight away, and once they have been paying for a while you get the same discount on yours. Referrals also shows the discount you are getting now and the history of everyone you have invited. See Refer a friend and earn a discount.
Exercise Library
The exercises available when building a client's programme — whether you build it by hand or draft it with AI. It comes with around 100 exercises already loaded, and you can add your own with New exercise.
Rather than deleting exercises you don't use, click the Active chip to mark them Inactive. Inactive exercises are hidden from the plan builder and from AI-drafted programmes, and you can switch them back on at any time.
