Switching on the Shop and adding products

Turn on the Shop module, add the products you sell with prices, cost prices and barcodes, and choose which ones appear on the Quick Sale grid.

TelosGym includes a simple till for selling things like drinks, supplements and merchandise, with stock control built in. It's switched off by default, since many studios don't need it.

Switch on the Shop

Only the studio owner can do this.

  1. Go to Settings → General and find the Modules section.
  2. Turn on Shop.
  3. Click Save at the bottom of the Modules section — the switch doesn't save on its own.

A new Shop section then appears in the menu:

  • Quick Sale: The till, for selling products. Access area needed: Reception
  • Products & Stock: Products, stock levels, suppliers, purchase orders and sales reports. Access area needed: Stock & Products

A Grid tab also appears on the Check-in page, so reception can sell without leaving check-in. See Adding staff and a reception login for how to give staff these access areas.

💡 Turning the Shop off again hides it but keeps all your products, stock and sales, ready for when you switch it back on.

Add a product

  1. Go to Products & Stock and stay on the Products tab.
  2. Click Add product.
  3. Fill in the details:
    • Name — required.
    • SKU (optional) — your own product code. Each SKU must be unique.
    • Category (optional) — e.g. "Drinks" or "Supplements". This just helps staff find things when searching at the till.
    • Sell price — required.
    • Cost price (optional) — what you pay your supplier, before tax. Once both prices are filled in, TelosGym shows your margin.
    • Opening stock (optional) — how many you have on the shelf right now.
  4. Click Save.

⚠️ A product needs stock before it can be sold. The till won't sell more than you have, so enter an opening stock figure — or book stock in later with Adjust stock or a purchase order.

Add barcodes

Barcodes can be added once a product has been saved:

  1. Click the Edit icon on the product.
  2. In the Barcodes section, scan the barcode with a USB scanner or type it into Add barcode, then click Add.

A product can have more than one barcode — handy if the same item comes in different packaging. Each barcode can only belong to one product. Barcodes save as soon as you add them.

Put products on the Quick Sale grid

The till has a Grid of tap-to-add buttons for your best sellers. To choose what appears there, tick the Quick Sale checkbox next to each product in the Products list.

The products list

The list shows each product's price, cost, margin and current stock. Stock shows in red when it's running low (5 or fewer left). Use the search box to find a product by name, SKU, category or barcode.

The icons on each row let you:

  • Adjust stock — book stock in or out. See Adjusting stock and checking stock history.
  • Stock history — see every change to that product's stock.
  • Edit — change the product's details or barcodes.
  • Delete (bin icon) — permanently remove a product. This only appears for products that have never been used — see Deleting a product below.

To change the stock figure itself, always use Adjust stock rather than editing the product, so the change is logged.

Retiring or deleting a product

If you've stopped selling something, switch off Active to hide it from the till. Turn on Show inactive to see retired products again. Nothing is lost, so this is the right choice for anything you've sold before.

Deleting a product

If you added a product by mistake, you can delete it for good. The Delete icon (a bin) only appears on a product that has never been used:

  • It has never been sold.
  • It isn't on any purchase order, including drafts and cancelled orders.
  • Its stock has never been changed, other than the opening stock you entered when adding it.

Click Delete, then confirm. The product and its barcodes are removed and this can't be undone.

Once a product has been sold, ordered or had its stock adjusted, the Delete icon disappears, because past sales, orders and stock history refer to it. Switch off Active instead.
