Cancelling a class and messaging everyone booked
Call off a single class without touching the rest of the series, and message everyone who was booked in before you do.
Instructors get ill and snow closes studios. Cancelling a class in TelosGym takes a few seconds — the part worth getting right is telling the people who were booked.
Cancelling one class
- Click the class on the timetable to open it.
- Click Cancel this class (bottom left, in red).
- Confirm.
The class stays on the timetable, greyed out, faded and labelled (cancelled). That's on purpose — it's there so you and your members can see the class was called off, rather than wondering whether it was ever scheduled.
It only cancels that one class
If the class is part of a weekly repeat, cancelling one week leaves every other week alone. One snowed-off Tuesday doesn't take the rest of the term with it.
The flip side: there's no "cancel the whole series" button. To stop a class running permanently, cancel each remaining occurrence, then Deactivate the class type so it stops appearing when you schedule new classes — see Setting up your class types.
Tell everyone who was booked
Do this before you cancel, while the Bookings list is still in front of you.
- Open the class.
- Click Message everyone booked.
- Give it a Title and a Message.
- Click Send.
It goes to every member currently booked into that class, and they'll see it in the client app. Keep the title short — it's what they see first.
💡 Message everyone booked needs the Messaging access area. If you can't see the button, that's why — ask whoever manages staff to add it, or see Adding staff and a reception login.
The button also only appears once somebody is actually booked in. An empty class has nobody to message.
What happens to the bookings
Cancelling the class doesn't wipe the bookings — the class and its list stay exactly as they were, marked cancelled. Nobody can book into a cancelled class, and nobody can join its waitlist.
If members paid a drop-in price for a class you've cancelled, TelosGym doesn't refund them automatically. You'll need to sort that out yourself — either refund the payment or let them use it against another class. Worth a line in your message so nobody has to chase you.
A better option than cancelling
If the instructor's off but the class can still run, don't cancel — open the class and change the Instructor, then Save changes. Same for a room change or a one-off time change. Everyone stays booked and you've saved yourself the messages.
