Scheduling classes on the timetable
Put classes on the timetable, repeat them weekly for up to a year, and move or edit a single week without disturbing the rest.
Once you have at least one class type, you can put classes on the timetable. TelosGym schedules each class as its own occurrence — so a weekly Spin class is really 12 separate classes sharing a series. That sounds like more work, but it's what lets you move or cancel one week without disturbing the rest of the term.
The timetable
Go to Classes. The top bar drives everything:
- The arrows either side of the date move you back and forward a day, a week or a month, depending on the view you're in.
- Today jumps straight back to today.
- The three small icons on the right switch between Day, Week and Month.
Day and Week are what you'll live in day to day. Month is the one to use when you're laying out a term or checking a bank holiday week.
1. Schedule a class
Click Schedule class, or click the day you want on the timetable.
- Class type — required. Picking one prefills the rest from the template.
- Instructor — optional, and it defaults to Unassigned. The list is your staff.
- Location — only appears if you have more than one location.
- Date and Time — both required.
- Capacity — prefilled from the class type. Change it for this one class if the room's smaller, you're covering yourself, or you want to keep a few spaces back.
Click Schedule.
💡 Duration, capacity, location and drop-in price are copied from the class type at the moment you create the class, not looked up later. That's why changing a class type never disturbs classes already scheduled — and why you can safely tweak any one of them here without affecting anything else.
2. Repeat it weekly
The Repeat weekly box is the one that saves you the afternoon. Put in the number of weeks including this one — so 12 gives you this week plus the next 11 — and TelosGym creates that many classes, one week apart, in one go.
You can schedule up to 52 weeks at a time. Leave it at 1 for a one-off.
Repeat weekly only shows when you're creating a class. It's not there when you're editing an existing one, because by then the classes already exist as separate occurrences.
3. Edit or move one class
Click any class on the timetable to open it. Change what you need and click Save changes.
This is the important bit: editing one occurrence only changes that one. If your Tuesday Spin moves to 7pm for one week because of a bank holiday, change that week and the other eleven stay exactly where they were. There's no "apply to the whole series" — every class stands on its own.
The same goes for cancelling: see Cancelling a class and messaging everyone booked.
💡 Scheduling a full term and then needing to shift all of it is the one case this costs you time. If a time is likely to move, schedule a few weeks at a time rather than all 52.
Reading the timetable
Each class shows its time, name, instructor and how full it is — 8/12 booked. The colour down the left is the class type's colour. A cancelled class goes grey, fades back and is labelled (cancelled) — it stays on the timetable rather than vanishing, so everyone can see it was called off.
