Setting up personal training
Switch on personal training for your studio: the access area it needs, what it unlocks, and how trainers sign in to their own app.
Personal training in TelosGym has two halves. Owners and managers work in the Personal Training page of the staff dashboard, and trainers get their own app on their phone. Both run off the same data, and both are unlocked by one access area.
1. Give your trainers the access area
Everything PT hangs off a single access area: Personal Training — "PT client rosters, programmes, session notes."
Add it to each trainer's staff account. If you haven't set up staff accounts yet, start with Adding staff and a reception login.
Granting it does two things at once:
- It adds the Personal Training page to the staff dashboard, with tabs for Assignments, Session Packages, Programmes, Body Composition, Messages and Diet Plans.
- It adds Exercise Library to your Settings menu — the list of exercises programmes are built from. Nobody without the access area sees it.
💡 There's no separate module switch to flick for PT. The access area is the switch.
2. Point your trainers at the PT app
Trainers don't have to use the full staff dashboard. TelosGym has a separate, mobile-first app built for someone standing on the gym floor with a phone:
It's the same login as the staff dashboard — their normal TelosGym staff account, no separate sign-up. The app checks for the Personal Training access area and won't let them in without it.
It's installable, so tell your trainers to add it to their home screen the first time they log in. From then on it behaves like any other app on the phone.
If a trainer forgets their password
There's a Forgot password? link on the PT app's login screen. They enter their email, get a link, set a new password, and they're logged straight in. You don't need to do anything at your end.
3. Know which half does what
Some things only exist in the staff dashboard, which catches trainers out:
- Roster — see your clients: Staff dashboard: Yes. PT app: Yes
- Add a client to your own roster: Staff dashboard: Yes. PT app: Yes
- Assign a client to a different trainer, or end an assignment: Staff dashboard: Yes. PT app: No
- Diary: Staff dashboard: Yes, with a trainer picker. PT app: Own diary only
- Goals, measurements, session notes: Staff dashboard: Yes. PT app: Yes
- Build or edit a programme: Staff dashboard: Yes. PT app: Read-only
- Build a diet plan: Staff dashboard: Yes. PT app: Read-only
- Sell a session package: Staff dashboard: Yes. PT app: Yes
- Record a caliper test: Staff dashboard: Yes. PT app: Yes
- Exercise Library: Staff dashboard: Yes. PT app: No
The short version: building things happens in the dashboard, doing things happens in the app.
4. Set up what you sell
Two things are worth creating before your trainers start:
- Session package types — the blocks of sessions you sell. See Selling session packages.
- Exercises — Settings → Exercise Library. Programmes are built from this list, so it needs a few entries before anyone can build one. See Building a workout programme.
