Training a client who also belongs to a gym
How an independent trainer works with a client who also belongs to a gym on Telos: one login for them, completely separate records for you, and a one-off age check.
If you're an independent trainer with your own TelosGym account, some of your clients will also be members of a gym that uses TelosGym. That works without either of you doing anything clever: the client keeps one login and sees you and the gym side by side in the same app.
What stays separate
Your account and the gym's account are two completely separate studios.
- You can't see the gym. Not their membership, classes, check-ins, payments or waiver. You only ever see the client record you created yourself.
- The gym can't see you. They don't know the client trains with you, and nothing you record (goals, measurements, session notes, programmes, messages) is visible to them.
- Money stays separate. You charge through your own Stripe account. Nothing goes through the gym's.
Adding a client who already uses a gym
- Add the client as normal, using the email address they log in to the client app with.
- Send the invite as normal. See Adding clients and inviting them to the client app.
- When they open the invite, TelosGym recognises that they already have a login, so instead of asking them to choose a password it asks for their current password. Once they enter it, your studio is added to their account.
Their password is never changed, and the invite link on its own is not enough to attach your studio to someone's account. They have to prove it's theirs.
What the client sees
It's the same client app they already use. Once they belong to more than one studio, a Switch studio list appears at the top of the menu, and tapping a studio takes them into that one. Each studio keeps its own programme, messages, sessions and packages.
On the invite they're also told what you will be able to see, so there are no surprises.
What you can see
- The name, email and phone number on the client record you created.
- Their workout logs and habit reflections only if they have turned sharing on in their own profile. Sharing is off by default, and it is set separately for every studio, so a client who shares with their gym hasn't shared with you.
Messaging and the age check
Chat with a trainer needs a one-off 18+ age check on both sides. See Age verification explained.
- A client who has already been verified, for the gym or anyone else, isn't asked again for you. The check belongs to the person, not to the studio.
- You need your own age check as the trainer, once.
- You don't need to record a gym induction. Inductions are a gym thing, so for an independent trainer's clients the age check is the only requirement before chat works.
If it doesn't link up
- They use a different email at the gym. TelosGym can't tell they're the same person, so they'll end up with a second login. If you can, use the same email address in both places.
- The email belongs to a member of staff at a studio. A staff login can't be turned into a client login, so that person needs a different email address for the client app.
Ending it
- The client can leave you themselves. On their Profile page there's a Leave this trainer button. It only appears for an independent trainer, and only when they belong to another studio as well. Their gym membership isn't touched.
- You can remove their access from the client record. That only removes them from your studio. Their login, and anything they have at the gym, carries on as normal.
Your own records about the client stay in your account either way.
