Sending announcements to your members
Broadcast a notice to your whole studio or just to the people booked into one class, and see what you’ve sent.
An announcement is a one-way notice from the studio to its members. It's not a conversation — nobody can reply to it — which makes it the right tool for "we're closed Monday" and the wrong one for talking to an individual.
Who can send one
Sending needs the Messaging access area. The owner can always send.
Reading is open to any staff account, but what they see differs:
- A manager, the owner, or anyone with Messaging sees the studio's full history of announcements.
- Everyone else sees only what was actually addressed to them — studio-wide announcements, plus any class they personally instructed.
The two kinds
Studio-wide
Goes to every member of your studio with a client app login, and to every staff account.
Use it for closures, timetable changes, price changes, events — anything that genuinely concerns everyone. It's the blunt instrument, so don't wear it out.
Scoped to one class
Goes to the people currently booked into that one session, plus that session's instructor.
This is the Message everyone booked button on a class — see Cancelling a class and messaging everyone booked. Ideal for "tonight's Spin is in Studio 2" or "your instructor's off, Jo is covering".
Sending one
- Give it a Title — required, and up to 255 characters. It's what people see first, so make it carry the message on its own.
- Write the Message — also required.
- Send.
Both fields have to have something in them; TelosGym won't send an empty announcement.
Who actually receives it
The recipient list is worked out at the moment you send, from who's booked right then. It isn't a fixed list stored in advance.
For a class announcement that matters in a practical way: someone who books in after you've sent it won't get it. If you're telling a class about a room change, send it close to the time, or send it again if the roster has moved on.
Members who don't have a client app login don't receive announcements at all — there's nowhere to deliver them to. See Adding clients and inviting them to the client app.
💡 You don't get a copy of your own announcement. The sender is deliberately skipped, so don't worry when your phone stays quiet.
Where members see them
In the client app, under Announcements in the burger menu. Trainers see them in the PT app on its own Announcements tab.
They also arrive as a push notification if the person has notifications turned on, and tapping it opens the announcement. See Push notifications: setting up and fixing them.
Announcements or a message?
- Tell everyone the gym's shut on Monday: Studio-wide announcement
- Tell tonight's class the room has changed: Class announcement
- Talk to one client about their training: PT messaging
PT messaging is a private two-way thread and has its own requirements — see Messaging your PT clients.
