Drop-in prices and paying for classes
Charge for a single class, and understand what “covered by a membership” really means — plus prepay versus cash on the door.
Drop-in prices let you sell a single class to someone who isn't a member — or to a member whose membership doesn't stretch to classes. The model is worth reading carefully, because it's a coverage layer, not a gate: a membership makes a class free, rather than being the thing that lets someone book at all.
The rule in one paragraph
If a class type has no drop-in price, everybody books it free — members and non-members alike. That's how every class behaves until you set a price. Once you set one, anyone covered by a membership still books free, and anyone else is charged the drop-in price.
What "covered" actually means
This is stricter than "has a membership", and it's the bit that catches people out. TelosGym uses the same test as check-in does, so it won't count:
- a monthly membership that's overdue on payment, or
- an expired day pass,
even though both can still look active on the client's record. Nothing flips those automatically, so a plain "is there a membership?" check would let people in for free who shouldn't be.
The membership also has to actually include classes — see Creating membership types and setting prices.
Setting a price
On the class type (Classes → Class types), fill in Drop-in price. Leave it blank to keep the class free to book without a membership.
The price is copied onto each class as you schedule it, so changing it later only affects classes you create from then on.
Prepay, or cash on the door
One setting decides how the money is taken. In Settings, find Drop-in prepayment:
On (the default) — payment is required before the booking is confirmed. A member booking in the client app is sent to Stripe Checkout, and their booking is held until the payment comes back confirmed.
Off — cash on the door. The booking is confirmed straight away and the amount is recorded against it as a pending cash payment for you to collect and reconcile at the desk.
💡 Prepayment needs Stripe connected. If it's on and your studio hasn't finished Stripe setup, members are told the studio isn't set up to take card payments yet and are sent to the front desk. See Connecting Stripe to take payments.
What reception sees
Booking someone in at the desk works the same as any other booking — see Booking clients into classes. If they're not covered, the drop-in amount is recorded as owed against the booking, and you take the money as you normally would.
At check-in, an unpaid drop-in at a prepay studio won't let them through — it shows as payment outstanding rather than quietly waving them in. That's the safety net that stops a paid class being given away for free.
Waitlists on paid classes
Members generally can't join the waitlist for a priced class from the client app while prepayment is required, because there's no way to take payment at the moment somebody is promoted. How the class waitlist works explains this, and the one case where a promoted member picks up an amount owed.
