Getting started with TelosGym: what you'll need
What you need to run your studio on TelosGym, what to expect from your first login, and the order to set things up in — from connecting Stripe to checking in your first member.
Welcome to TelosGym! This guide covers what you need before you start, what you'll see when you first log in, and the order we recommend setting things up in. Each step links to its own detailed guide, so you can work through them in order or jump to whichever bit you need.
What you'll need
TelosGym runs entirely in a web browser, so there's no software to install.
- A laptop or PC for reception. This is where staff check members in, take payments and manage the day-to-day. Any recent laptop running Chrome, Edge or Safari is fine.
- A webcam. Most laptops have one built in, or a cheap USB webcam works just as well. The Check-in page uses it to scan the QR code members show from their app — the quickest way to check someone in.
- A stable internet connection. Wi-Fi is fine. TelosGym is cloud-based, so as long as the reception laptop is online, everything stays in sync automatically.
- A smartphone (optional). Handy for trying the client app yourself and seeing exactly what your members see, but not needed to run reception.
💡 You don't need a dedicated barcode scanner — the webcam covers it. If your front desk gets busy, a plug-in USB barcode scanner also works: it types the member number into the Check-in page just as if someone had typed it.
Your first login
You'll receive your owner login separately. Once you're in, you'll land on your studio dashboard — the control centre for your staff, clients, memberships, classes and settings.
As the owner, you automatically have full access to every part of TelosGym — there's nothing to switch on. That's worth remembering when you add staff: new staff accounts start with no access until you tick the areas they need.
Recommended setup order
You don't have to switch everything on at once, but this order avoids doubling back:
- Connect Stripe so you can take card payments — see Connecting Stripe to take payments.
- Check your Settings, especially Facilities and Off-peak hours, because membership types are built on them — see A tour of the Settings menu.
- Create your membership types and set their prices — see Creating membership types and setting prices.
- Add your staff, including a shared reception login — see Adding staff and a reception login.
- Add your clients and invite them to the client app — see Adding clients and inviting them to the client app.
- Start checking members in — see Checking members in at reception.
What's next
Once those steps are done, you're fully up and running: staff and reception set up, Stripe connected, memberships priced, and members joining and checking in.
Once members are paying and checking in, Reporting (under Business in the menu) shows your revenue, attendance and membership churn over any date range — see Getting started with Reporting.
Take it at your own pace. The optional Nutrition, Body Composition, Programmes and Client Branding plugins are under Settings → Plugins whenever you're ready to explore them.
